For customers wishing to store documents received from third-party vendors, Identifi offers several options:
- Document Add
If the volume is small, customers can manually bring the documents into the system by using the Document->Add option in our Identifi product. There is no additional charge for this feature. This feature will not read barcodes and multi-page documents cannot be broken out into different document types.
For more information on using the Add Feature, see this article: Using the Add Feature to Import Documents.
- Batch Scan using the Scan Client
If the volume is small, customers can manually bring the documents into the system by using the Open button within the Identifi Scan product. The Scan Client is licensed per workstation, so there may be additional charges if you don’t already have this client. Using this feature will allow barcodes to be read, and multi-page documents can be broken out into different document types.
For more information on using the Scan Client, see this article: Using the Scan Client.
If you are interested in adding the Scan Client to your existing installation, or to add additional scan licenses, please contact sales at sales@identifi.net.
- Uplink
Uplink is an add-on automated scanning service that allows customers to place pdf documents into different directories using a multi-function printer/scanner. Once scanned, the Identifi system will import the documents and send them to the Batches queue for indexing. The customer can then manually index the documents. If configured, barcoded documents will be read by Identifi, making indexing faster and easier.
For additional information on Uplink, see this article: Using Uplink.
If you are interested in proceeding with Uplink and you don’t currently own it, please contact sales at sales@identifi.net for pricing. If you do currently own uplink and need some additional directories configured, please contact support at support@identifi.net.
- Custom Import
Identifi also has a custom importer that can import the documents and can also automatically index them to Identifi. This importer can handle three different types of files:
-
PDF files that are named with the index values and have a static delineator.
For example, a .pdf named “1234_Application_05012023.pdf” would be interpreted by the system as follows: where 1234 would be the account number, Application would be the document type and 05012023 would be the document date.
This format can also accept multi-values by including another delimiter. For example: 1234~2345_Application_05012021.pdf where 1234 and 2345 would be the account numbers, Application would be the document type and 05012023 would be the document date.
- A CSV file that contains the index data along with a path to the image. See section titled CSV document Import spec for more details on this format.
- Limited xml formats can also be supported. An example .xml would be provided in advance to determine if Identifi’s importer can support it.
Regardless of the custom importer format, the following features are also available:
- File date can be used for a date field.
- Document type mapping can be configured to modify vendor’s doc types to Identifi doc types.
- Default values can be configured to be brought in.
- Data can be sync’d against the customer’s core system if key data is present upon import.
If you are interested in proceeding with our custom importer, please complete the Custom Import Survey below and send it, along with a sample of the files, to lgarcia@identifi.net and we can provide a quote for this process.
