The method in which data arrives in Identifi is varied and is based on the specific needs of our customers.
The purpose of this article is to outline and describe the various methods used to bring Data into the Identifi database and offer ways in which the data can be utilized within the Identifi modules.
Business Line Integration (BLI)
The two types of BLIs are Standard BLI and Custom BLI.
How will the Data be used?
Once the Entities are added, what can be done with the Data?
- Lookups - Lookups within Identifi call to the Entities to allow end-users to index documents. Lookups bring back related data from Identifi Core to successfully index the documents to the archive.
- Tracking – Tracking rules can be set up against the data to know when specific requirements have been met on document types.
- Workflow –Work Items within a workflow can be tied to specific data using relationships.
Note: It is not recommended to tie a Workflow to an Entity that has been populated by a Custom BLI. For example, you would not want to create a Workflow based on the Account Entity, because the data within that Entity is used for other specific purposes and would potentially cause performance issues. This data should only be used as relationships. - Sync through Data Sync – Data Sync is an additional nightly process tied to a Lookup that enables the system to check whether any updates have been made to existing data in the Identifi Core and can update that data to reflect the most current information. This can be done just on the primary data or on the related data depending how the lookup is configured.
- For example, when Data Sync is turned on, if a Close Date has been updated in the Core system, it will be reflected on the associated documents in Identifi, which can assist with document retention.

- Sync through Background Indexing using a Smart Folder – Data is used to sync documents to the current Identifi Core data whenever a Background Index is run. The system performs the Lookup to populate data on those documents and ALL data is updated.
