A Document Type's Tracking Details are managed under Setup->Documents->Doc Types and by selecting it from the list.
This will open to the General tab, select the Tracking tab and click to open the fields for editing.
Tracking Periods
- Due After- the number of days after which the document is considered as satisfying a requirement
For example, each new account opened requires an Account Application document within 10 days of the account open date.
- Grace Period- the number of days after the Due After period has passed before the item shows as an Exception
For example, the customer is allowed an additional 10 days to submit all account documents after the opening date.
Frequency
One-time- for documents that are submitted and tracked only once.
Recurring- for documents replaced at regular intervals.
- Recur Every: the number of months that the document will be valid
For example, current year’s tax documents are required to be submitted each year, so they would recur every 12 months.
- Accept documents___months prior and up to___months after: the number of months prior to the due date that the new document will be accepted as satisfying the The ‘up to months after’ will fill in automatically.
For example, tax documents might be submitted as early as January of that year.
Default Assignee
- Default Assignee - Select a user to automatically be assigned to any requirement related to this document type.
- All Identifi Users will be available under the drop down menu.
- If no user is selected here, the requirements will show as unassigned or will be assigned based User Roles from the host import.
Applying Changes
When changes have been made to a Document Type’s Tracking details, be sure to select the degree to which these changes will be extended.
When all changes have been made, click in the top menu.
Removing Tracking Requirements in Bulk
- Tracking Requirements can be deleted in bulk from the main Document Types menu.
Place a check mark next to each Document Type needed and then select .
Click Delete in the following dialogue box to confirm that all Tracking Requirements will be removed from all selected Document Types.
