Whether it's a brand new Identifi installation or it's simply time for spring cleaning and re-organizing, setting up Users and Groups and granting them security might seem overwhelming.
In this article, we'll provide some tips on how to approach this process.
User or Group Security
Security in Identifi can be applied to individual Users or to Groups. In most cases, Group security is preferable since it's simpler to manage- with all Users in a Group receiving the Roles and Permissions assigned to that Group. Granting access to Identifi is as easy as adding a User to the Group, likewise, removing Users from a Group will revoke that security.
Groups are often created based on job function, though they could be based more generally on what functions and content of Identifi are needed.
Getting Started
There is no required 'order of operations' for adding Users, Groups and security access. Groups can be created before all Users have been added to the installation, and Roles and Permissions can be assigned to Groups before there are any Users in them.
The very first step, though, is to outline how the security in your Identifi installation should be set up outside of the installation. Pen and paper, Word doc, stone tablet, whatever works best for you.
Also important is ensuring that all Applications are in place, since these are necessary for assigning Permissions.
Provided below is a Best Practice approach to the process.
Steps
- Create the first Group. For details on adding Groups, see here.
- Assign all necessary Roles to the Group. For descriptions of each Role, see here.
- Assign the Group Permissions to all relevant Applications. These may be all the Permissions the Group needs, but if further Permissions are required, such as Security Profiles, Scan Plan Security, Attribute level Permissions, then add those now as well. For descriptions of each Permission, see here.
- Repeat Steps 1 through 3 until all Groups have been created.
- Add Users to the installation. As each User is added, select the Group(s) they will belong to. For details on adding Users, see here.
Note: If your Users are already added to the installation, they can be added to the Group from the Group's Users tab.
- If the User needs a unique Role that is not assigned to the Group they will belong to, the Role(s) can be granted to the User individually under the Roles tab.
